# Read and organize your email

> Find, read, archive and delete the mail in your Inbox to keep your conversations in order.

Find any conversation, read it, and archive or delete what you’re done with.

Ted can read your mail for you: ask him what’s new.

Everyone in your foundable can read its mail. Only the owner or an admin can archive, delete or mark **No reply needed**.

**1. Find the conversation**

Type in the **Search** box at the top. On a phone, press **Search** (the magnifying glass) first. Or press **Filter** (the sliders) to show only **Unread** or **Read** mail, or mail that **Has attachments**. To look in another folder, press the **Inbox** title.

**2. Open it**

Press its row. It opens beside the list, or in the list’s place on a phone or in a narrow window. Press the back arrow at the top left to return.

**3. Read it**

New and latest messages open in full, and older ones you’ve read fold to one line: press one to open it. On a long email, press **Read full message**. **Show quoted text** shows what a reply quotes.

**4. Archive or delete it**

At the top, press **Archive** (the box) to move the whole conversation to **Archived**. Press **Delete** (the trash can) to put it in the trash. There’s no Trash folder to bring it back from, so archive anything you might want later.

The **…** menu holds **Mark as unread**, which makes a conversation bold again. **No reply needed** marks its latest message as handled. In a long conversation, the menu also has **Expand all** and **Collapse all**.

## Folders and more

* **Folders:** the **Inbox** folder holds the mail people send and the emails your foundable sent, newest first. **Sent** holds what went from your address, and **Archived** what you put away. **Drafts** holds drafts that wait for approval and sending, Ted’s included, and the menu counts his.
* **The list:** a new conversation is bold, with its tile in the sender’s color. The foot of the list counts your conversations, and **Load more** shows older mail. **Filter** also sorts by date, **Newest first** or **Oldest first**.
* **Refresh** (the round arrow) checks for mail again, though new mail shows up by itself. On a phone, it sits at the top with **Search**, **Filter** and **Compose**.
* **In a conversation:** an email with its own design shows as the sender made it. Its links open in a new tab.
* **Files and details:** press a file under an email to download it. Press the **To:** line under the sender’s name to see who it’s from, who it went to and when.

Opening a conversation marks it read for you alone. Your teammates still see it as new.

## Check that it worked

An archived conversation leaves the list and waits in **Archived**. After **No reply needed**, the conversation says so under the sender’s name.

## If something goes wrong

> **“No matches in Inbox”**
>
> Your search or filters hide every conversation. Press **Clear search and filters**.

> **“Couldn’t load your inbox.”**
>
> Your mail didn’t load. Press **Try again**.

## FAQ

> **Can I search all of my mail?**
>
> The Inbox’s **Search** looks only through the list’s conversations. To search your whole mailbox, press the magnifying glass in the top bar (⌘K, or Ctrl+K on Windows). See [Find anything with Search](/get-started/search).
