# Schedule a task for Ted

> Set up a job Ted does again and again, at set times or each time something happens, to keep your business work going without asking.

A scheduled task is a job Ted does for you again and again. It runs at set times, like every weekday at 9 AM, or each time something happens, like a paid sale. You write what Ted should do once, and he does it every time.

Ted can do this for you: tell him [in the chat](/ted/chat) what you want done, and when. He sets the task up himself, with no card to approve.

```text wrap theme={null}
Every Monday at 8 am, look at last week’s sales and tell me what stood out.
```

Only the owner can make a task, in Schedule or by asking Ted.

**1. Open Schedule**

On a computer or tablet, press **Schedule** (the calendar) in the top bar. On a phone, press **More**, then **Schedule**.

**2. Press New task**

Press **New task** (the **+**). The “New Task” sheet opens.

![The New Task sheet: At a Time or When Something Happens, a title and instructions for Ted, when it starts, how it repeats, and its time zone.](https://mintcdn.com/foundable/kXUCZmsE466bfQJ0/images/schedule/schedule-new-task.png?fit=max\&auto=format\&n=kXUCZmsE466bfQJ0\&q=85\&s=288d36497a9086e9100c015d4f5f3355)

**3. Choose how it starts**

Pick **At a Time** or **When Something Happens**.

**4. Say what Ted should do**

Type a **Title**, then the instructions under “Instructions for Ted”.

**5. Choose when**

For **At a Time**, set **Starts** and **Repeat**. For **When Something Happens**, choose **What Happens** and **When to run**.

**6. Save it**

Check the **Time Zone**, then press the check mark (**Add**) at the top. It turns on once the task has a title and instructions.

To leave without saving, press the × (**Cancel**).

## Choose when it runs

**At a Time**: **Starts** sets the date and time of the first run. **Repeat** offers **Never**, **Daily**, **Weekdays**, **Weekly**, **Monthly** and **Custom**. With **Custom**, you pick the days, or have Ted run it every so many minutes or hours. Under it, the sheet says the rule in plain words.

**When Something Happens**: under **What Happens**, choose what starts the task.

* **A sale is paid**: any sale, or **Only sales of at least** an amount you set.
* **An email arrives**: from **Anyone**, or from **These addresses**. **Only replies to your emails** starts it only when someone answers an email you sent.
* **Something happens in an app**: pick the **App** and its **Event**.

Under **When to run**, choose **As each one arrives**, or **Together, at set times** to handle several at once. Each run uses credits, so handling several together costs less.

## Check that it worked

The sheet closes, and a task that runs at set times shows on the calendar. **All tasks** lists every task, including one that starts only when something happens. A task Ted made says “Set up by Ted”, or “Set up by Ted during your run”.

## If something goes wrong

> **I don’t see New task**
>
> It shows only for the owner. Ask the owner to make the task, or to ask Ted for it. An admin can still edit, run, pause and delete tasks.

> **“This schedule has no upcoming runs.”**
>
> A task set to run once has a time that has passed, so it would never start. Pick a later time. If you save it anyway, you see “Some values were not accepted. Check them and try again.”

> **Something happens in an app isn’t there**
>
> It shows once you’ve [connected an app](/account/integrations) that offers events. Connect the app first.

## FAQ

> **Can a task repeat every other week, or on the last day of the month?**
>
> No. **Repeat** offers **Never**, **Daily**, **Weekdays**, **Weekly**, **Monthly** and **Custom**. See [Choose when it runs](#choose-when-it-runs).

> **Can Ted change my tasks?**
>
> Yes. Ask him in the chat, and he can set up or change a task for you, as far as your role allows. Only the owner can resume a paused task. See [Scheduled tasks](/schedule/overview).

> **How do I change or stop a task later?**
>
> Press the task to open its card. **Edit** changes it, and **Pause Task** stops it until you press **Resume Task**. See [A task’s card](/schedule/overview#a-task’s-card).
